Last night my lovely assistant @robotowls and I packed up 320+ orders for the Kickstarter. I might do a deep dive into how to streamline as much of this process as possible for Royal Mail click and collect - including electronic customs forms
First things you're going to need are:
1. Dymo 4XL Printer
2. Spreadsheet software
3. An account with Royal Mail Click and Drop.
Once you've sent out all your surveys and got everyones respsonse click the Export Backer Report.

(please, everyone, fill out your backer survey when asked. it creates no end of hassle here if you have not.)
It will then spit out a CSV file of all your backers, who ordered what, when they paid, etc. You can cut a lot of it out if it's not useful to you, but it can all be left in, it won't affect Royal Mail Click and Drop when you come to import it there.
the only required fields for postage in here are
Name
Address 1
City
Country
Postcode
I then sort the entire sheet by Reward type. This will bundle everything together nicely for the next section.
You then want to add 6 columns.
Customs Code
Customs Description
Shipping Code
Weight
Size
SKU
You can find Customs Codes online, descriptions are up to you, and weight you can obviously find out yourself. The SKU should be unique for each "reward" type you have. in this example I have bundles, exclusive and the book. So i have 3 unique SKUs.
now we need to find out the Size, Shipping Code and link up the SKU's. So we open up Royal Mail Click and Drop and go to Products.
I then create the three products, with the three SKU's i had set in the spreadsheet. Be sure to fill in as much as you can as all this information will be pulled into your printed and electronic customs forms
now for the fiddly bit. In order to get the Shipping Codes I like to just create some dummy orders and run through it and get the code, check how much it costs and make sure i'm following all the right rules.
So you'll need to do this for every product type and every destination (Inside UK, Inside Europe and USA(rest of world) usually give you enough information to go on with how much each will cost). From here you can pick your "Size" and your "service code". Transfer to spreadsheet
so you should now have a spreadsheet with all the codes and sizes filled in. For my latest kickstarter I had 2 sizes and 3 shipping(service) codes for all 320 orders. so fret not, it's not a massive undertaking to do. This is where sorting by "reward" then "country" saves time
Now export your spreadsheet as CSV and open up Click and Drop again. Go to Orders and "import". Upload the file and you should end on a screen asking you to tell it what's what. fill in what i have filled in then move down to the "field mappings".
Royal Mail doesn't need to know any of these 5 columns, so click the right arrow. When you get to shipping details from your spreadsheet, start mapping it to what Royal Mail needs to know. Shipping name, address 1 and 2, city, post code, county, country... as much as you can!
then comes the customs and SKU details. link everything up as best you can. this part is the important part!!

**If you are doing this for the first time, try just importing a spreadsheet of 5 or 10 orders. It might make like a little easier.
once you have mapped everything they need you'll see the required fields turn green and a button. Click Import and a new banner should show up below saying everything is correct (or it will show you an error list you can click on).
Now we can go to the order, "pay and generate labels" and confirm our order. You will need to pay via paypal. Once you have you will be redirected back to the site.
The site will ask if you want to download the labels (the postage labels only). If you are dealing with international orders you might want to go to the orders page and click on Print and choose labels or CN22 customs forms.
The shipping labels & CN22 are perfectly sized for the DYMO 4XL labels. And because we hooked up the "SKU" from the spreadsheet to our "products" it's pulled in all the relevant info. and our international orders SHOULD contain an electronic copy in that barcode above the address
From what i've read, despite it being contained "electronically" in the barcode, you still need to stick a physical copy to the front too for the time being, hence the CN22s :((((
AND!! you can pay @RoyalMail to come to your house and pick up all your parcels! Well... you can pay them £17 and be told Wednesday and be sitting here writing out a big tweet at 7:30pm on wednesday evening and still no sign of anyone........
Day 2 of no-show @RoyalMail ( @RoyalMailHelp). Booked two days for collections now, neither have shown up. Will we go for the hat trick tomorrow?
