Here's the note I send to a buyer when an item goes out of stock:

"Hello and thank you for your order. During inspection we noticed that the item is damaged and in no shape to ship like this. Unfortunately, it seems the item has gone out of stock. (cont.)
It was our last one and could be 2-3 weeks until it is back in stock. We are terribly sorry for this inconvenience. If you like, you can wait for it to come back in stock or we can go ahead and cancel your order and issue a full refund immediately. (cont.)
Please let us know within 24 hours. If we do not receive a response we will go ahead and cancel.
Thanks and again our sincere apologies for any trouble this has caused,
Dropship Tycoon"

Usually the buyer wants to cancel. Then I choose "Buyer requested cancellation" 👈IMPORTANT
